Most shops don’t miss certifications because they don’t care — they miss them because there’s no clear tracking system.
This checklist gives you a practical structure you can follow whether you use a spreadsheet, internal system, or compliance tool.
Technician credential checklist
Track the following for each technician:
- Technician name
- Certification name (ASE category, EPA 609, etc.)
- Certification number
- Date issued
- Expiration / renewal date
- Status (current, expiring soon, expired)
- Proof document (PDF/photo)
- Notes (scope or internal requirements)
Shop compliance checklist
In addition to technician credentials, shops should track facility compliance items.
- Business license
- Repair facility registration (where required)
- Environmental permits
- Waste oil documentation
- Insurance certificates
- Inspection approvals
Recommended reminder schedule
Use staged reminders so renewals never sneak up on you:
- 90 days: Identify what is expiring
- 60 days: Schedule the renewal or certification exam
- 30 days: Confirm completion and store proof
Why most renewal systems fail
- Dates are tracked but proof documents are missing
- Multiple spreadsheets across departments
- No clear person responsible for renewals
- Reminders happen too late
